Administrative Assistant to CFO Commercial Real Estate Services Job Description

Overview: This position is the Administrative Assistant to the Chief Financial Officer (CFO) for a real estate related third party management and leasing organization who also assists in coordinating day-to-day operations of the accounting department and functions as a part-time accounting clerk.  The duties encompass supporting the CFO with phone calls, correspondence, filing, human resources and special projects in addition to providing guidance and response to requests in the CFO’s absence.  Along with the diversity of administrative duties, this position supports the general accounting department by processing all corporate accounts payable and property level bank deposits.  The position is a very demanding position with high expectations.  The ideal candidate will need to have the ability to multitask and work efficiently under pressure to meet deadlines in a timely manner with the utmost accuracy.  By nature of the position, a substantial degree of professionalism is required dealing with corporate contracts and exposure to sensitive data (such as human resources, payroll, corporate financials, etc.) requiring the use of tact, diplomacy, discretion, judgment, and independent decision-making as well as demanding complete restraint of communication among employees for the information handled. Education & Skill Requirements:
  • Some college or equivalent background gained through experience and training; Degree a plus
  • Excellent organizational, interpersonal, and executive assistant skills
  • Proficient command of grammar, punctuation, spelling, and correct usage of the English language
  • Minimum of five (5) to ten (10) years executive assistant/administrative assistant experience at the executive management level
  • Minimum of two (2) years general accounting experience with knowledge of Skyline, Timberline or Yardi software (experience with one software is a must; multiple software experience is a plus)
  • Advance level skills with Microsoft Office (Word, Excel and Outlook)
  • Comprehensive knowledge of office systems, practices, and administration
  • Proficient reception and telephone communication skills and techniques
  • Must be extremely professional, flexible, and willing to work overtime when necessary
